RDCRN User Guidance for Box – Read/Write Access

How do I gain read/write access for Box? 

  • By default, all RDCRN Box users have read-only access. 

  • If you require advanced access to create new sub-folders or upload documents, you can request read/write access. 

    • Consult with your consortium program manager. 

    • Your program manager can submit a request for read/write access on your behalf through the RDCRN DMCC Service Desk. 


How do I create a new high-level folder for a new collaboration? 

  • You can submit a request for a new folder through the RDCRN DMCC Service Desk. 

    • In your request, include the desired folder type. 

    • The folder type is determined by whether or not the folder will contain documents with protected health information (PHI) or personally identifiable information (PII). 

  • You will receive a PDF document explaining the guidelines for your new folder.

How do I share my folder with collaborators? 

Step 1

Highlight the folder. Click Share.

 

Step 2

If your collaborator is an RDCRN user, enter their name to find the RDCRN ID (ending in @rdcrn.org). 

If your collaborator is an external user, enter their email address.  

 

Step 3

Choose the role of your collaborator.   

 

Step 4

If you’d like to include a message with the invitation, enter it in the Message box. 

Click Send

 

 

How do I create a new subfolder? 

Step 1

Open a folder for which you have at least “Viewer / Uploader” privileges. Click New in the top right corner of your screen. 

 

Step 2

Click Folder.  

 

Step 3

Enter the folder name and email addresses of any collaborators.  

Click Create

 

 

How do I upload a new document? 

Step 1

Click Upload in the top right corner of your screen (you must have at least Viewer / Uploader privileges in the current folder).

Select the document you’d like to upload. 

Click Choose

 

 

How can I organize my files and folders? 

  • Using Box Collections, you can:

    • Organize your content into logical groupings.

    • Name these groupings to provide context.

  • Quickly find the content you need.

How much storage space can I use? 

  • The RDCRN Box license includes unlimited storage space.


How can I use my institutional Microsoft Office license to edit documents online? 

Step 1

Open the document you’d like to edit. 

Click Open in the top right corner of your screen.

 

Step 2

Click Microsoft [Application Type] Online

 

Step 3

Click Sign in with a work or school account and enter your institutional account information.
